Syncing Airbnb and Agoda calendars so a room never sells twice

Airbnb and Agoda can share calendars over iCal: Airbnb under Connect calendars, Agoda under Calendar connections in its YCS partner portal. Airbnb says it re-reads outside calendars every 3 hours; Agoda does not publish its interval, so measure it yourself. Agoda only links room types with a single room. Here is how to link, measure and recover.

What makes this pair different

On Airbnb the numbers are documented: imported calendars refresh every 3 hours, and there is a manual refresh button. Agoda’s official help explains how to connect but not how often it re-reads your link. So on one side you can work out the gap, and on the other you have to measure it.

Which room types Agoda will link

Agoda’s Calendar connections page only offers a connection on eligible room types. Agoda also warns that a connected room type may be deactivated automatically if its number of rooms changes from 1 to more than one. In practice, iCal on Agoda is for homes or rooms sold one at a time.

If three identical rooms share one Agoda room type, split them into three single-room types before linking, each matched to one Airbnb listing. Do not raise the room count on a linked type later: the connection can switch off without you noticing.

Measure Agoda’s delay yourself

Without the refresh interval you cannot tell how long to close last-minute nights by hand. A simple test, done once after linking:

1. On Airbnb (or in your calendar software, if you use a central calendar), block a night far ahead, say two months out. Note the time.
2. Check that room’s Agoda calendar every 30 minutes or so.
3. Note when the night shows as closed. The difference is the delay you need to plan for.
4. Reopen the night on both sides afterwards.

Repeat in the other direction to confirm Airbnb blocks the right dates. One measurement is one observation; timing may differ another day. Treat it as a minimum, not a promise.

Direct link or a central calendar

Direct means the Airbnb link goes into Agoda and the Agoda link into Airbnb. With a central calendar each OTA imports only your software’s link, and the software imports each OTA. For this pair the central route has an extra benefit: HostBooking reads Agoda booking emails (from agoda.com and agoda.net). The email usually arrives as soon as the guest books, so an Agoda booking can block the room before Agoda’s calendar is even re-read, then reach Airbnb on Airbnb’s next read of your link.

Linking directly, step by step

1. Sign in to the Agoda partner portal, open Calendar → Calendar connections, find the room type.
2. Click Copy calendar link to get the Agoda calendar link.
3. On Airbnb: Calendar → listing → Availability → Connect calendars → Connect to another website. Paste the Agoda link, name it "Agoda", click Add calendar.
4. On the same screen, copy the listing’s Airbnb calendar link.
5. Back on Agoda, paste the Airbnb link into Other website link, name the connection, click Import.
6. Check that one real stay shows on the right dates on the other side, then measure the delay as above.

What iCal does not carry

• Prices and promotions: Agoda’s many deal rates stay on Agoda.
• Guest name, party size, special requests: still read on each OTA.
• Preparation time and minimum stay set on Airbnb: not guaranteed to reach Agoda.
• Multi-room types: Agoda will not link them.

Checklist against double bookings

• Each Airbnb listing matches exactly one single-room type on Agoda.
• You have measured the Airbnb → Agoda delay and written it down.
• An Airbnb booking for a night sooner than that delay: close it on Agoda by hand at once.
• Never change the room count of a linked Agoda room type.
• Weekly, check in Calendar connections that the link is still active.

If a double booking still happens

Agoda: if another room is free, move the guest to an equal or better room at no extra cost to them. If none is free, you must find accommodation of equal or higher standard elsewhere and provide transport there, again at no extra cost to the guest.

Airbnb: a host who cancels a confirmed booking pays 10% of the reservation if more than 30 days out, 25% at 2–30 days, 50% within 2 days, minimum USD 50; the dates are blocked and Superhost status can be lost.

Whichever side you choose, contact the guest as early as possible. A guest told days ahead accepts a move far more easily than one who learns at the door.
