Syncing Airbnb and Traveloka calendars so a room never sells twice

HostBooking · · 7 min read

Airbnb supports iCal; Traveloka publishes no guidance on iCal links in TERA. So this pair cannot be synced both ways by iCal alone. What works: let Traveloka bookings block Airbnb through booking emails and a central calendar, and close Airbnb stays in TERA by hand, or use a channel manager connected to Traveloka.

What each side offers

Airbnb documents it clearly: export and import under Connect calendars, imported calendars refreshed every 3 hours. For Traveloka, we found no official documentation saying TERA (its partner extranet) can export or import an iCal link. Every Traveloka connection guide we found goes through a channel manager. If your TERA account shows an external calendar option, confirm it with your Traveloka account contact before relying on it.

Two directions, two methods

Traveloka → Airbnb: can be automatic

Traveloka emails you a confirmation for each booking. If you forward those emails to HostBooking, a Traveloka-signed email becomes a booking with guest name, dates and price. It blocks the room on your HostBooking calendar, and Airbnb sees the night as taken on its next read of your link (Airbnb reads every 3 hours). Traveloka needs no iCal for this.

Airbnb → Traveloka: by hand

There is no link for Traveloka to read, so each Airbnb booking has to be closed in TERA manually. That is where this pair double-books: forgetting once is enough. Two habits help:

  • Turn off Instant Book on Airbnb for rooms also sold on Traveloka. Guests send a request; you open TERA, close the night, then accept on Airbnb.
  • Close in TERA the moment you accept, not at the end of the day. A Traveloka guest can take next weekend in the few hours you leave it open.

When a channel manager is worth it

If you get more than a few Airbnb bookings a week, or sell several rooms on Traveloka, manual closing will slip. A channel manager connected to Traveloka sends availability to TERA automatically. Then let the channel manager be the only place that edits Traveloka availability, not TERA as well, and ask your Traveloka account contact how to switch the connection on.

Setting up with a central calendar

  1. In HostBooking, open Calendar → Sync OTAs (iCal), add each room’s Airbnb calendar link and set the channel to Airbnb.
  2. Copy HostBooking’s link for Airbnb and paste it into Airbnb under Availability → Connect calendars → Connect to another website.
  3. Create the forwarding address under Booking emails from OTAs, then set a Gmail or Outlook filter that forwards Traveloka (and Airbnb) emails to it.
  4. On Airbnb, turn off Instant Book for rooms shared with Traveloka.
  5. Each time you accept an Airbnb booking, close exactly those nights in TERA.
  6. Test once: add a test booking to the calendar and check Airbnb blocks the right dates after its next read.

What iCal does not carry

Even in the direction that uses iCal (into Airbnb), the link only carries booked dates. Traveloka prices, promotions and guest names do not reach Airbnb. Booking emails do carry names and prices, but into HostBooking, not into Airbnb.

Checklist against double bookings

  • Your email filter has caught at least one real Traveloka email and created a booking.
  • Airbnb shows a recent last-updated time for the HostBooking import.
  • Instant Book is off on Airbnb for shared rooms.
  • Every Airbnb booking has a "closed in TERA" step in your or your staff’s routine.
  • Weekly, compare TERA with your HostBooking calendar for the next 14 days.

If a double booking still happens

Airbnb: cancelling a confirmed booking costs 10% of the reservation if more than 30 days out, 25% at 2–30 days, 50% within 2 days, minimum USD 50; the dates are blocked and Superhost status can be lost.

Traveloka: we found no public Traveloka rule for partners on double bookings. Contact your Traveloka account contact as soon as you notice, and have a comparable place nearby ready to offer the guest. Check your partner agreement for what it says about failing to host a guest.

On HostBooking

HostBooking reads Airbnb’s calendar every 5 minutes and reads booking emails from both Airbnb and Traveloka, so every booking sits on one calendar with a warning when a night is double-booked. HostBooking does not close rooms in TERA for you. See OTA calendar sync, the pricing page, and the background iCal sync guide.

Frequently asked questions

Does Traveloka have an iCal link?

We found no official Traveloka guidance on iCal links in TERA. Ask your Traveloka account contact. If there is none, use booking emails for Traveloka → Airbnb and close the other direction by hand.

How can Traveloka bookings block my Airbnb calendar automatically?

Forward Traveloka confirmation emails to HostBooking. The email becomes a booking, and Airbnb blocks the night on its next read of your HostBooking link, within about 3 hours.

Can Airbnb bookings close rooms on Traveloka automatically?

Not with iCal. You need a channel manager connected to Traveloka; otherwise close the nights in TERA each time.

Should I turn off Instant Book on Airbnb?

For rooms shared with Traveloka that you close by hand, yes: it gives you time to close the night in TERA before accepting.
