Listing a hostel or homestay on Hostelworld: the deposit is the commission, you collect the rest
HostBooking · · 7 min read
Hostelworld is the backpacker channel, suited to hostels and homestays with dorms. Its money works differently from other OTAs: the guest prepays a deposit, Hostelworld keeps it as commission (often quoted at about 15%, indicative 11/2026), and the guest pays the rest straight to you. The Inbox extranet cannot connect iCal calendars.
Which properties fit Hostelworld
Hostelworld specialises in hostels: dorm beds, budget private rooms and common spaces where guests meet. Guests are usually solo travellers or groups of young friends looking for low prices and company. If your homestay has dorms, a bar or shared activities, Hostelworld is worth having. A family villa rented whole fits it poorly.
Signing up and documents
- Register on Hostelworld’s partner site with property details, room types (dorm beds, private rooms), photos and prices.
- Send the documents requested. For properties in Vietnam, Hostelworld lists the recommended document as a Business License (Tourism Operating License).
- Choose your cancellation policy, how you collect the balance, and your rate types.
- Once approved, manage bookings, rates and availability in Inbox, Hostelworld’s property extranet.
Foreign guests booking through Hostelworld also need a stay notice to the police on time, one per person, dorm guests included.
The deposit is the commission
This is the biggest difference. At booking, the guest pays Hostelworld a percentage of the price to secure the bed. Hostelworld keeps that payment as its service fee, i.e. commission. The remaining balance is paid directly to you, at check-in or by the deadline in your policy.
| Hostelworld | Booking.com, Agoda (OTA collects) | |
|---|---|---|
| Guest pays the OTA | A part, equal to the commission | Everything |
| OTA pays you | No: you collect the balance yourself | Yes, after commission |
| You pay commission | No need: it is in the deposit | No need: already deducted |
| No-show risk | You lose the balance; Hostelworld keeps the deposit | Per cancellation policy |
Hostelworld’s help pages do not state a general rate. Channel managers connected to Hostelworld commonly cite about 15%, and about 18% for the Elevate programme (indicative, 11/2026). Your rate is in your agreement with Hostelworld. Put it into the OTA price calculator to get the bed and room prices to list.
Collecting the balance
Hostelworld recommends collecting the balance at check-in, to avoid being unable to charge later. To collect earlier, set a deadline and method in your policy:
- At check-in: simplest. The guest pays cash, bank transfer, QR or card at the desk.
- Manual card charge before your deadline, using the card details the guest left.
- PayNow: Hostelworld charges automatically; available only in some countries and only on non-refundable rates.
- A payment link (PayPal, for example) before arrival.
For Vietnamese guests or anyone with a Vietnamese bank account, a transfer QR code with the amount filled in is fast and has no card fees. See QR bank transfer deposits.
Cancellations and no-shows
Cancellation terms attach to rate types. On non-refundable rates, the guest’s deposit is not refunded under any circumstances. But that deposit is Hostelworld’s share: if the guest does not show and you have not collected the balance, you earn nothing for that night. To limit the risk, use non-refundable rates with PayNow where available, or ask for the balance in advance for holiday nights. See also homestay cancellation policy.
No iCal in Inbox: keeping calendars in step
According to Hostelworld’s support pages, Inbox cannot currently connect iCal; automation needs an API connection through a channel manager. If you sell Hostelworld alongside just one or two other channels, a practical approach is:
- Keep some beds or rooms for Hostelworld only, not open on other channels.
- For shared inventory, close it in Inbox as soon as another channel books an upcoming night.
- Each morning, compare beds left in Inbox with your own room book for the next three days.
Pros and cons
- Pros: exactly the backpacker audience; no commission to pay afterwards since it is in the deposit; you collect most of the money yourself instead of waiting for an OTA payout.
- Cons: no-show risk is yours; no iCal in Inbox; you must collect the balance and handle cards yourself.
Where HostBooking helps
HostBooking does not read Hostelworld booking emails yet, and since Inbox has no iCal it cannot pull the calendar automatically either. What it does:
- Enter Hostelworld bookings with the Hostelworld channel, the booking code and the deposit Hostelworld kept as commission (as an amount). The room is held on your calendar at once, so your website and iCal-connected channels do not sell that night again.
- Record who collects on each booking, so the desk knows which guests still owe the balance; guests can pay by VietQR with the amount filled in.
- Reports by channel separate Hostelworld revenue and commission from your other channels.
